Privacy policy

1. Introduction

GroupSets PT is an iPhone and iPad app for personal trainers to manage clients and run small-group training sessions. It is published by DFOG Consulting ("we", "us"). This policy explains what information the app collects, how it is used, and the choices you have.

Who uses GroupSets PT. Only trainers sign in to GroupSets PT. Trainers enter information about their own clients (for example, goals, injuries and workout results). Clients do not have accounts in the app.

Our role. For your own account, we decide how your information is used. For information you enter about your clients, you (or your gym) decide what to collect and why, and we store and process it only to provide the app to you.

2. Information we collect

Your account (trainers)

  • Name and email address, when you create an account with email and password or sign in with Apple. If you use "Hide My Email", we receive Apple's relay address instead of your real email.

  • Your workspace name, and your role in it (for example, admin or trainer).

  • A setting for Face ID or passcode lock. Face ID is handled entirely by your device; we never receive your face data.

Information you enter about your clients

  • Contact details: name, email, phone number, date of birth, emergency contact.

  • Health and fitness information: goals, height, weight, body fat, check-in measurements, health conditions, medications, injury notes, and your trainer notes.

  • Training records: workout templates, sessions, attendance and no-show reasons, sets, reps, weights, personal records and session notes.

Purchases

  • If you subscribe, Apple processes the payment. We receive confirmation of your subscription status (for example, active, trial or expired), not your card or payment details.

Technical information

  • Our hosting providers keep standard server logs (such as IP address, device type and request times) for security and troubleshooting.

  • We do not use advertising identifiers, and the app contains no advertising or analytics trackers.

3. How we use information

We use information only to run GroupSets PT for you:

  • Create and secure your account, and let you sign in.

  • Store your clients, workouts and session records, and sync them between your devices.

  • Show features such as personal-record detection, injury cautions, check-ins and progress charts.

  • Check your subscription status and provide access to paid features.

  • Respond to support requests, fix problems and keep the service secure.

What we never do

  • We do not sell or rent your information or your clients' information.

  • We do not use it for advertising, and we do not track you across other apps or websites.

  • We do not contact your clients.

4. Who we share information with

We share information only with service providers that help us run GroupSets PT, and only what each needs.

We may also disclose information if required by law, to protect the safety of any person, or as part of a sale or merger of the business, in which case this policy would continue to apply.

Gyms. If you join a gym's workspace, trainers and admins in that workspace can see the clients and sessions in it, according to the gym's sharing settings.

5. Storage, security and deletion

Where it's stored. Information is stored on your device so the app works offline, and in our database hosted by Supabase in the United States.

Security. Data is encrypted in transit. Access rules in the database ensure that each trainer can reach only the workspaces they belong to. You can also lock the app with Face ID or your device passcode. No system is perfectly secure, but we work to protect your information.

How long we keep it. We keep your information while your account is active. Clients, templates, sessions and other records you delete are removed from the app straight away and permanently erased from our systems within 30 days.

Deleting your account. In the app, go to Settings → Delete account. This permanently deletes your account and your personal workspace, including its clients, templates and session history. If you signed up with Apple, the app is also disconnected from your Apple ID. Information in a gym's workspace belongs to that gym and stays with it. Signing out removes your account's information from that device.

6. Your rights and choices

Trainers. You can view and edit your information and your clients' information in the app at any time, and delete your account in Settings. To request a copy of your information, or if you can't use the in-app options, email support@groupsetspt.com. Depending on where you live, you may have further rights, such as access, correction, deletion and portability; we will respond within the time the law requires.

Your responsibilities for client information. You are responsible for having your clients' permission to record their information, especially health information, and for keeping it accurate. Only enter what you need to train them safely.

Clients. If a trainer stores your information in GroupSets PT, please contact your trainer first, since they control it. You can also email us at support@groupsetspt.com and we will pass your request to your trainer or help as the law requires.

7. Other things to know

Children. GroupSets PT is for fitness professionals and is not directed to children under 16. Trainers who work with minors should have a parent's or guardian's permission before entering their information.

International users. Your information is stored in the United States. If you use GroupSets PT from another country, you agree to your information being transferred there.

Changes. If we change this policy, we will update the effective date and, for significant changes, tell you in the app.
